Technology and Operations Coordinator

Purpose of Position


Qualifications

1. Extensive computer experience, including database management, webpage management. Experience with Dreamweaver (or similar) software for web development/management required; familiar with social media (Facebook, Twitter, LinkedIn etc.). Experience with Access, Moodle a plus.
2. High school degree required; college degree preferred
3. Strong communication skills – written, personal, phone
4. Exceptional organizational ability and attention to detail
5. Minimum of 5 years experience in office operations and executive support, or related experience or BA with 1 + years office experience
6. Experience in working with college students a plus
7. Experience in event management


Responsibilities

1. TECHNOLOGY MANAGEMENT – 50%
• Update current website and look for ways to continuously improve online department information
• Assist in development of CDC website to include more multi-media tools, resources
• Maintain social media communication tools - Twitter, Facebook, LinkedIn etc.
• Identify opportunities for the CDC to utilize technology in delivery of services
• Coordinate data loading for Simplicity recruiting tool and other web-based tools
• Responsible for training staff on technology tools



2. DATA MANAGEMENT 30%
• Develop and generate computerized reports for various office systems (appointments, library resource materials, programs/workshops, registered alumni)
• Oversee file management and systems for CDC office including:
a) CDC Resource Library Materials – manage all orders, categorize, label, inventory and track all resource materials; maintain database of resources, develop and produce reports for staff;
b) Program/workshop attendance statistics – maintain database of CDC events, enter attendance statistics, develop and produce reports; create and update program calendar and manage room reservations.
c) Oversee the data entry of all counseling appointments, GRE score reports, fellowships, etc.
d) Coordinate surveys (graduation, one year out, workshop/event) to develop consistent evaluation tools for our office and assist with data input, analysis and report writing
e) Direct alumni information request process for office. Work collaboratively with College Advancement to generate alumni lists for career related requests. Train students, manage records, ensure appropriate use of confidential materials.

3. OFFICE SUPPORT 10%
• Assist with budget (reconcile all expenses against cost center reports/transactions, request transfer of funds when appropriate); utilize Banner to keep close account of department budget/expenditures
• Purchasing (process and manage purchase requisitions, purchase orders, central stores orders, check requisitions, cash reimbursement, petty cash account, cash receipts and deposits)
• Manage inventory, order and stock all office supplies for CDC, Kagin Resource Center
• Manage office equipment (order office furniture/machines, maintain operation, schedule repairs, order supplies for copier, fax, printers, typewriters)
• Process work requests (physical plant, key orders, voice mail, computer accounts, business cards)
• Coordinate front desk – assist with training students on office procedures, program events, etc.
• Assist with printed material (develop, reproduce and maintain supply of office forms and information hand-out materials)
• Provide support for employer recruitment


4. PROJECT SUPPORT FOR OFFICE EVENTS 5%
• Assist in the planning of programs/workshops
• Provide department representation and support at major events
• Schedule room reservations
• Create and maintain yearly calendar
• Track attendance and produce reports for staff


5. OTHER 5%
• Participate in and contribute to overall Student Affairs activities, including such events as orientation and commencement
• Other projects/committees as initiated or assigned within the office, campus and community
